Podium Ski Ltd (“Podium”, “we”, “us”) is the data controller for personal data collected through www.podiumski.com and our booking process. Contact: training@podiumski.com. Registered in England and Wales, company number 08731694.
1. What we collect
- Enquiries: name, email address and anything you include in a message via our contact form or by email.
- Bookings: name, contact details, athlete name and age, ability level and training history, camp details, payment records, and insurance policy details. Payments are processed by WeTravel (see section 4) — we never see or store your card details.
- Health information: where you tell us about medical conditions, injuries, allergies or dietary needs relevant to safe participation, we record it. This is special category data; we process it with your explicit consent and only to run the camp safely.
- Photos and video: coaching video during camps, and photos/video that may be used in marketing unless you opt out (see our booking terms).
- Website: our site uses cookies needed for it to function and basic analytics to understand how the site is used. We do not sell or share browsing data for advertising.
2. Why we use it and our lawful basis
- To respond to enquiries and administer bookings — performance of a contract (or steps you ask us to take before one).
- To run camps safely, including sharing essentials with coaches — legitimate interests and, for health data, your explicit consent.
- To send you camp information and, occasionally, news of future camps you may be interested in — legitimate interests; you can opt out any time by replying or emailing training@podiumski.com.
- To keep accounting records — legal obligation.
3. Children
Junior athletes book through a parent or guardian, and we collect a child’s details only from them. We do not knowingly collect data directly from children online.
4. Who we share it with
- WeTravel Inc. processes deposits and payments on our behalf; their handling of your payment data is covered by their own privacy policy.
- Our coaches receive the athlete information they need to coach safely (name, age, ability, relevant health notes).
- Resorts and lift operators where needed to arrange lift passes or piste access.
- Service providers who host our website and email.
We never sell personal data.
5. International transfers
Our camps run in Switzerland, Italy, France, Austria, Sweden and Belgium, so limited data (e.g. names for lift passes) may be shared with organisations there. WeTravel is based in the United States. Where data leaves the UK we rely on adequacy decisions or standard contractual safeguards.
6. How long we keep it
Enquiry emails: up to 2 years. Booking and accounting records: 6 years after the tax year they relate to, as required by UK tax law. Health information: deleted after the camp it relates to unless you book again. Marketing contact details: until you opt out.
7. Your rights
Under UK GDPR you can ask us for a copy of your data, ask us to correct or delete it, object to or restrict processing, withdraw consent (for health data or marketing) at any time, and ask for data portability. Email training@podiumski.com and we will respond within one month. You can also complain to the Information Commissioner’s Office (ico.org.uk).
8. Changes
We will post any changes to this policy on this page with an updated date.
